Job Description

CBRE is dedicated to managing the maintenance of Data Centres, ensuring efficient and effective critical engineering maintenance services. The primary goal is to achieve 100% uptime of engineering services, preventing any impact on the client’s business operations.

Job Responsibilities

  1. Assist in issuing Planned Preventative Maintenance (PPM) from the CMMS system and maintain accurate records

  2. Arrange site access for subcontractors performing planned maintenance, including raising change requests, obtaining Risk Assessment Method Statements (RAMS), and compiling subcontractor packs

  3. Update subcontractor logbooks as needed and file completed maintenance packs and reports

  4. Regularly record feedback from suppliers and subcontractors

  5. Assist in submitting quotations for subcontractor and extra works

  6. Raise purchase orders for extra works and send them to suppliers and subcontractors

  7. Support the tendering process for subcontractors, ensuring timely raising of service contract purchase orders

  8. Compile and submit timesheets

  9. Monitor and report staff absence, maintaining the holiday/absence tracker

  10. Assist in arranging staff training

  11. Update and maintain the contract training matrix

  12. Compile monthly contract reports

  13. Assist contract management with filing and maintaining contract logbooks

  14. Handle subcontractor invoices and related queries, assisting with the processing of all CBRE monthly invoices

  15. Compile monthly site financial reconciliations

  16. Support the Contract Management Team in keeping financial records, systems, and reports up to date, including contract Works in Progress, invoicing, and credit control

  17. Assist with day-to-day inquiries from the CBRE team and clients

  18. Provide general administration and logistical support to contract management

Job Qualifications

Essential Education and Experience

  • Essential:

    • A good basic education with at least Grade 12 and passes in Mathematics and English

    • Excellent IT skills, particularly in Microsoft Word and Excel

    • A minimum of three years’ experience in a similar role with basic finance responsibilities

  • Desirable:

    • Knowledge of Computer-Aided Facilities Management (CAFM), Computerized Maintenance Management Systems (CMMS), Planned Preventative Maintenance (PPM) management, Access Requests, and change management systems

    • Experience in both administrative and financial aspects

    • Supervisory experience is recommended
