secThis position involves providing administrative support to department heads, directors, and other office managers. Responsibilities include handling general office management tasks and performing administrative duties.
i) Ensuring efficient use of office supplies
ii) Assisting department heads with administrative tasks
iii) Managing internal correspondence within the department
iv) Reviewing and proofreading letters, memos, and documents for accuracy before distribution
v) Maintaining accurate records according to company filing procedures
vi) Assisting in the preparation of office procedures and plans
vii) Providing assistance to visitors in person, via email, or by phone
viii) Initiating payment processes in the SAP ERP platform, including preparing and monitoring purchase requisitions for vendor invoices
ix) Supporting team efforts by expediting payment approvals for various purposes
x) Screening telephone calls for the department
xi) Compiling documentary evidence for performance evaluations and audits
xii) Coordinating travel arrangements for senior managers
xiii) Arranging meetings and booking conference facilities
xiv) Handling departmental sensitive information confidentially
xv) Coordinating office equipment repairs with the administration department
xvi) Managing office supplies inventory and placing orders as needed
xvii) Coordinating human resource activities such as performance appraisals and contract renewals
xviii) Compiling training proposals for submission to the Human Resource department
xix) Ensuring compliance with company branding standards for documents and templates
i) Possession of a diploma in Business Administration, Office Management, Human Resource Management, Secretarial Studies, Inventory Management, or a related field from an accredited institution
ii) Full membership with KENASA (Kenya Association of Secretaries and Administrative Professionals)
iii) Completion of a supervisory course lasting at least two weeks
iv) At least four (4) years of relevant work experience
