Job Description
The officer will collaborate with the finance officer on tasks pertaining to budgeting for new funding, project/project preparation and submissions, progress reports, and the development and planning of budgets for each strategic area of projects. Additionally, they will aid in forecasting future resource requirements.
Job Responsibilities
• Monitor expenditure and prepare timely reports for submission to Project Manager, Principal Investigators (PIs), Partners, and Donors
• Maintain an inventory register and ensure assets are insured
• Oversee the maintenance of office equipment, facilities, and assets
• Generate reports on the operations, maintenance, and utilization of equipment, assets, and facilities
• Review financial and administrative vouchers and monitor MPESA payments
• Recommend approval of project operating invoices and vouchers for payment
• Collaborate with finance to ensure funds are available before processing Local Purchase Orders (LPOs) and work with relevant departments to complete Request for Purchases for timely procurement and delivery of project supplies
• Conduct unannounced inventory inspections to ensure all assets are available and maintained according to schedule
• Manage the office transport system, track vehicle and motorbike expenses, and address any concerns
• Coordinate with Human Resources on the hiring and orientation of project staff
• Manage timesheet tracker per project and maintain leave schedules
• Coordinate the archiving of project files
• Arrange and coordinate project meetings, taking minutes as necessary
• Facilitate the processing of travel requisitions
• Coordinate the clearance of project visitors, liaising with relevant departments for clearance, work permits, hotel reservations, ground transportation, and office space
• Prepare welcome packets for visiting scientists
Job Qualifications
i
Possess a Bachelor’s Degree in Public Administration, Political Science, Business Administration, Accounting, Finance, or an equivalent qualification from a recognized institution
ii
Have a minimum of five years of postgraduate experience in project administration, management, finance, accounting, or a related field
iii
Demonstrate knowledge of administrative, budgetary, financial, and human resources policies and procedures
iv
Exhibit proficiency in computer applications
