secTerms of Service: Permanent and Pensionable.
The officer's tasks and obligations comprise:
i) Ensuring the safeguarding of information, documents, files, records, and office equipment within a registry/archives
ii) Managing incoming and outgoing mail through reception, sorting, opening, and dispatching, while also maintaining relevant registers
iii) Arranging, categorizing, and cataloging documents for filing
iv) Managing, refreshing, and overseeing personnel records and file indexes
v) Supervising the handling of open, confidential, and secret files
vi) Overseeing the custody and upkeep of the Institute’s documents
vii) Orchestrating the digitization of the Institute’s documents for dissemination and archival purposes
To be eligible for this grade, an officer must fulfill the following criteria:
i) Possess a minimum of three (3) years of relevant work experience in a similar role and institution
ii) Hold a Bachelor’s Degree in Information Science Management, Records Management, or a related field in the Social Sciences, along with a Certificate in Records Management/Information Management or equivalent qualifications from an accredited Institution
iii) Achieve a mean grade of C+ (C Plus) in the Kenya Certificate of Secondary Education (KCSE) from the Kenya National Examination Council or an equivalent qualification from a recognized institution
iv) Demonstrate proficiency in computer applications
v) Provide evidence of commendable work performance
vi) Meet the requirements stipulated in Chapter Six of the Constitution
